We do not use automated decision-making or profiling techniques that produce legal or similarly significant effects concerning you. Our system may prioritize certain pet information for first responders based on emergency relevance (such as displaying medical conditions before breed information), but this prioritization follows pre-determined rules and does not involve algorithmic decision-making about individual users.

5. DISCLOSURE OF YOUR INFORMATION

We may disclose personal information that we collect or you provide as described in this Policy:

5.1 First Responders

  • The primary purpose of our Services is to provide information about your pets to first responders in emergency situations. When a first responder scans the QR code associated with your account, they will have access to the pet information you have provided specifically for this purpose.
  • First responders are authenticated through our comprehensive verification protocol that includes:
  • Validation of official emergency service credentials against government databases
  • Multi-factor authentication for accessing sensitive information
  • Verification against official ID numbers and department-issued credentials
  • Access logging and monitoring with automated alerts for suspicious activity
  • IP address and device verification when applicable
  • Time-limited access sessions that automatically expire
  • The QR code implements our Tiered Information Access system, where:
  • Tier 1 (Immediately Visible): Critical emergency information (pet names, species, medical alerts)
  • Tier 2 (Basic Verification): General pet information (breed, age, behavior notes)
  • Tier 3 (Full Verification): Detailed information (veterinary records, owner contact details)

5.2 Service Providers and Processors

  • We may share your information with contractors, service providers, and other third parties we use to support our business and who are contractually obligated to keep personal information confidential, use it only for the purposes for which we disclose it to them, and process the personal information with the same level of protection that we provide.
  • Our processor contracts explicitly require:
  • Implementation of appropriate technical and organizational security measures
  • Staff confidentiality commitments
  • Subprocessor restrictions requiring our prior written consent
  • Breach notification requirements
  • Cooperation with data subject rights requests
  • Return or deletion of data upon contract termination
  • Our primary service providers include:
  • Cloud storage providers (Amazon Web Services, Inc.)
  • Payment processors (Stripe, Inc.)
  • QR code generation technology providers (QRCode Monkey GmbH)
  • Customer service platforms (Zendesk, Inc.)

5.3 Veterinarians

  • With your explicit consent, we may provide access to your pet’s information to veterinarians you designate in your account settings. Veterinarians can:
  • View pet medical information

5.4 Business Transfers

  • If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our Site of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.

5.7 Cross-Border Data Transfers

  • If we transfer your personal information to service providers or affiliated entities located outside your country of residence, we implement appropriate safeguards to ensure your information receives an adequate level of protection. These safeguards include:
  • Standard Contractual Clauses approved by relevant regulatory authorities
  • Binding Corporate Rules for transfers within our corporate group
  • Adequacy decisions where the recipient country has been deemed to provide adequate protection
  • Derogations for specific situations as permitted by applicable law

6. DATA SECURITY

We have implemented reasonable technical, administrative, and physical security measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. These measures include:

  • Encryption of personal information in transit using TLS 1.3 protocols
  • Encryption of personal information at rest using AES-256 encryption
  • Secure access controls with role-based permissions and multi-factor authentication
  • Regular security assessments and penetration testing by independent security firms
  • Employee training on data security practices and privacy compliance
  • Physical security of facilities where data is stored, including 24/7 monitoring
  • Network security measures including firewalls, intrusion detection, and anomaly monitoring
  • Regular security patches and updates to all systems and applications

The QR codes generated by our Services are designed with security in mind. Each QR code contains a unique identifier that links to your pet information stored in our secure database, rather than containing the information itself. This architecture provides an additional layer of security while ensuring that first responders can quickly access critical information in emergency situations.

For optimal security, we recommend the following QR code placement guidelines:

  • Place QR codes inside door frames or entryways, not visible from windows
  • Consider placing a QR code sticker on pet carriers or crates
  • Include a QR code in your emergency kit
  • Avoid placing QR codes in locations visible to passersby or from outside your home

Notwithstanding our security safeguards, no method of electronic transmission or storage is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information. We are not responsible for circumvention of any privacy settings or security measures contained on the Site. In the event of a data breach that compromises your personal information, we will notify you and the appropriate regulatory authorities in accordance with applicable law.

7. DATA RETENTION

We will retain your personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements. We may retain your personal information for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

To determine the appropriate retention period for personal information, we consider:

  • The amount, nature, and sensitivity of the personal information
  • The potential risk of harm from unauthorized use or disclosure
  • The purposes for which we process the personal information
  • Whether we can achieve those purposes through other means
  • Applicable legal, regulatory, tax, accounting, or other requirements

Specific retention periods include:

  • Account information: For the duration of your active account plus 1 year after account closure
  • Payment information: 7 years as required by applicable tax and financial regulations
  • QR code data: Until deactivated by you or 90 days after account closure
  • Website usage data: 12 months from collection
  • Customer service communications: 2 years from resolution of inquiry

If you close your account or request that we delete your information, we will delete or anonymize your personal information within 30 days of your request, except for information that we are required to retain for legal or legitimate business purposes. When we anonymize data, we implement technical measures to ensure that the data cannot be re-associated with an identifiable individual.

You may deactivate your account at any time by logging into your account settings or contacting us directly.
